Responsibilities
| Information and instructions |
Arrange exam dates and times with student | You will receive an exam timetable at the beginning of each semester. It is the responsibility of the student and parent to contact you, at least two weeks before the exam to make supervision arrangements. The school will remind students of this their responsibility in classes and through student notices each semester. |
Receive and store exam materials | You will receive the exam materials via mail. The envelope will contain: - The exam instructions
- Supervisor and Student declarations
- The exam materials
- Reply paid envelope to return the exam
Once received, store in a secure location. Do not open the envelope until the day of the exam. Contact the school If you have not received the exam materials the week prior to the stated exam date. |
Prepare exam location | Determine where the student will sit the exam. Ensure the location is quiet, free from distractions, suitably lit and furnished and of a suitable temperature. If you are unsure if the room is suitable, please contact the school. |
Student arrival and entry to the exam location | Please ensure you arrange for the student to arrive with enough time to complete any sign in requirements (e.g. COVID check ins) and be seated prior to the exam start time. One the exam envelope has been opened, the student is not to speak to anyone other than the exam supervisor. Ensure the student does not have access to their phone or any other electronic devices unless otherwise stated in the exam instructions. |
Student arrives without notice | Contact the school if a student arrives that you were not expecting. |
Student arrives late | If the student arrives after perusal/planning time, the student must start the exam immediately. Do not provide perusal or planning time. - If the student arrives within 40 minutes of the exam start time, the student is allowed to site the exam with the full amount of time.
- If the student is more than 40 minutes late for the exam or if you are unable to accommodate the full amount of time, contact the school.

Student is ill during the exam | If a student leaves the exam room due to illness, note the time they leave and return and add the lost time to the end of the assessment (if possible). If the student does not return to the room, their assessment materials are collected at the end of the assessment time, and contact the school. |
Student is absent | Notify the school as soon as possible. |
Disruptions and other incidents | If any student claims that their performance was affected by an incident please notify the school. |
Academic Misconduct | If the school or supervisor suspect the student has been given unfair advantage or breached the expectations for Academic Integrity, the student may receive a 'not rated' for that assessment, which can have a significant impact on the Queensland Certificate of Education Attainment. Contact the school if you suspect there has been a breach of Academic Integrity or if you are unsure of the exam requirements and instructions. |
Non-Compliance by Exam Supervisor | Exam supervisors MUST follow all exam instructions without exception. Failure to do so may result in a breach of academic integrity. Examples include: - rescheduling an exam without authorisation from the school
- failing to keep exam materials secure prior to the scheduled assessment time
- opening or sharing exam materials before the exam
- providing a student with undue assistance with any work that contributes to their response
- leaving students unsupervised, or inadequately supervised, during the exam
- allowing additional time for the exam without authorisation from the school
- making any other accommodations or adjustments to the exam or exam conditions without authorisation from the school.
